STEP 1 - DATA PREPARATION BY THE ORGANISER
Necessary minimum information that must be prepared: preferred event dates, acceptable alternative dates (it is possible that due to other agreements already signed by us, certain dates will not be available), time required/planned for installation, the very event and dismantling, total necessary space, event subject, sector - this information is necessary given the diversity of subjects that are already offered at EXPO XXI in order to avoid the organisation of similar events at the same time.
STEP 2 - CONTACT FOR INITIAL BOOKING PURPOSES
Initial booking: personal contact with the sales department (Space Sales Department) or submission of a request for proposal, the definition of main event parameters, i.e., dates and space size, general technical and logistics arrangements, planning the date of the organiser’s visit at the venue, agreeing on the scope of auxiliary services.
STEP 3 - VISIT AT THE FACILITY AND WORKING MEETINGS
Visit and tour in the facility in the presence of an employee of the Sales Department and an employee of the Service Department. During the visit, we present our offer of dedicated space and auxiliary services related to the event. Technical requirements of the event will be discussed in more detail, if necessary, at further meetings, where your needs, capacities of the venue and the division of roles during the event will be precisely agreed.
STEP 4 - OFFER AND AGREEMENT
On the basis of the previous meetings, our employee of the Sales Department will prepare an agreement with necessary attachments, which will be presented to you for acceptance. The agreement will include, without limitation, the rules of the venue and our rental terms and conditions.
